Schedule a review for May 26-June1/2011.
Comment 4 David Williams CLA 2011-06-09 01:30:00 EDT
This review was deemed a success, with no objections or counter proposals raised.

So, we'll proceed to the concluding steps to archive the project. Roughly, those steps are

0. notify community on communication channel.
1. Directories archived and removed from CVS
2. The bugzilla product/components archived or marked read-only.
3. Website archived.
4. Wiki pages archived
5. Search for open CQ items and if found withdraw them.
6. Mailing lists and forum groups deactivated.
7. Remove all current committers using the Portal tools.

I'll fill in more detail for each item in the reminder of bugzilla.

done. note sent 6/9/2011 to ve-dev list.

1. The CVS directories to archive are listed below. They reside in

/home/data/cvs/tools

org.eclipse.ve
org.eclipse.ve.cde
org.eclipse.ve.doc
org.eclipse.ve.examples
org.eclipse.ve.examples-feature
org.eclipse.ve-feature
org.eclipse.ve.java.core
org.eclipse.ve.jfc
org.eclipse.ve.propertysheet
org.eclipse.ve.releng
org.eclipse.ve.releng.builder
org.eclipse.ve.sweet
org.eclipse.ve.sweet.internal
org.eclipse.ve.swt
org.eclipse.ve.tests
org.eclipse.ve.tests-feature
Comment 6 David Williams CLA 2011-06-09 02:03:55 EDT
5. Search for open CQ items and if found withdraw them.

I could not find any CQs for tools.ve, closed or open ... so, no work to do here (unless I'm missing something).

2. The bugzilla product/components archived or marked read-only.

VE is in the Classification of Tools, and its Product name is VE. That VE product, all its components, should me marked "read only", so they will still be searchable, but no new ones opened.

I considered marking open ones as "won't fix" with a pointer to termination review, but there's over 600 ... and as far as I know, this is not typically done, so no plans to write anything further. Feel free to make read only when ever you are ready.
Comment 7 David Williams CLA 2011-06-09 02:09:52 EDT

3. Website archived.
3B. move downlaods to "archives" location.
4. Wiki pages marked read-only (or .. however you do that).
6. Mailing lists and forum groups deactivated.

  The mailing list is ve-dev
  The forum/newsgroup is eclipse.tools.ve

(I'd recommend to wait about a week, before deactiving these, just so users get a chance to see the message, before the list itself disappears. If you agree, that'd be about 6/16)
Comment 8 David Williams CLA 2011-06-09 02:18:05 EDT
7. Remove all current committers using the Portal tools.

I'll wait a day or two (in case comments on my plan/process) but then use Portal tool to remove the committers in VE:

Nick Boldt
Srimanth Gunturi
Rich Kulp
Gili Mendel
Jeff Myers
Philippe Ombredanne
Steve Robenalt
Dan Rubel
Peter Walker
Joe Winchester
Yves YANG

The latter, Yves Yang, is current Project Lead. Not sure if there's anything extra that has to be done about Project Leads database table, or if handled automatically be all these other activities, but if so, I'm assuming web master does that part.
Comment 9 Wayne Beaton CLA 2011-06-09 08:54:39 EDT
It sounds like we have a plan.

We'll make sure that happens.

I scanned the project downloads. They do not distribute any third-party libraries, so this makes sense.

Webmaster has a script for this.
Comment 10 David Williams CLA 2011-06-13 09:15:41 EDT
Per comment #8 I've removed all the committers, using the Foundations Portal interface.

I believe that concludes all my own, direct "to do" items, but of course I'll help if there's questions or issues about remaining archival activities.
Comment 11 Eclipse Webmaster CLA 2011-06-13 14:58:14 EDT
So I've:

1) Removed the committers David identified via the portal.
2) Created an archive tgz file containing the source directories in comment #5, the website(CVS), download.eclipse.org and archive.eclipse.org content. It's been linked to the /archived page.
3) Cleaned up the website and added a redirect to the archives page.
4) Re-classified all the bugs to z_Archived/VE.
5) Posted closure notices to both the ML and NG and they have been queued for deletion. The archives will remain online.
6) Marked the source code read-only and it will be removed in a few months.
7) Marked VE as 'archived' in the projects database.

I think that's it.

Does anyone know if the VE forums will continue to be accessible online?

The forums will remain online in a read only mode.

I still see the ve directories in cvs, as below. Was the "delete" step forgotten after the archive? Or ... just waiting a while?

This is part of our usual 'wait a while and see if anyone panics' before we delete things. If you're sure you don't need it I'm more than willing to take an axe to it.

I'm in no rush, but suspect 2 months is more than enough. ... after all, there is the archive to fall back on. (I was just surprised ... by all means, feel free to fit into whatever system or time period you have been following).
Comment 17 David Williams CLA 2011-10-15 15:26:44 EDT
Ok, I think its time ... I noticed not only the CVS stuff still there, but I noticed this weekend that I could even open a bug on VE.

Time to let it go (unless someone knows something I don't) ... once making sure all is correctly archived, etc.
Comment 18 Eclipse Webmaster CLA 2011-10-17 16:00:33 EDT
Ok, I've removed the CVS data, and removed the product entry under tools(not sure why that was missed).
